What's the difference between User, Trainer, and Organization accounts?

User accounts book and attend events. Trainer accounts create and host events, have a public profile, and can be assigned to events by other trainers or organizations. Organization accounts run multiple trainers under a branded profile, and can also create their own events.

Can my account be more than one role at the same time?

No. Each account has a single role chosen at registration. If you need both, create a separate account with the other role.

What happens when I delete my account?

Your profile is removed. If you're a trainer or organization, your events are deleted and active bookings on them are cancelled (bookers are notified). Bookings you made on other people's events are cancelled. Account deletion cannot be undone.

Do I have to verify my email address?

Yes. After registration we send a verification link; until you confirm it some actions (booking, creating events, contacting trainers) stay locked. You can request a new verification email from your account settings if the original expires.

How do I change my password or recover a forgotten one?

Change it from Settings → Security while signed in. If you've forgotten it, use the 'Forgot password' link on the login page — we'll email you a reset link that's valid for a limited time.

Who can see my profile and bookings?

Trainer and organization profiles are public so people can find and book them. Regular user profiles and your booking history are private — only you and the trainer/org you booked with see your bookings.

What do ACTIVE, PASSIVE, and DRAFT mean on an event?

ACTIVE is published and bookable. PASSIVE is hidden from the public — existing bookings stay but no new ones are accepted. DRAFT is a work-in-progress that hasn't been published yet.

What do the different pricing modes mean?

Free: no payment. Per-person fixed: a flat price per attendee. Total fixed: one price for the whole booking regardless of headcount. Range: a min–max price shown for context (final price agreed off-platform). Contact trainer: no price shown; the trainer quotes you directly.

How do discounts work?

Owners can attach a percent discount (e.g. 15% off) or a fixed-amount discount (e.g. €5 off) to an event. The event card shows the original and final price side-by-side so you can see the saving.

What does 'approval required' mean on an event?

Bookings on approval-required events start as PENDING and need the owner to confirm them before they become CONFIRMED. Use it when you want to vet attendees; skip it for instant booking.

How do recurring events and one-off changes work?

Set a recurrence rule (daily/weekly/monthly/yearly with an interval and end date) and the system generates occurrences automatically. You can override or cancel a single occurrence without changing the rest of the series.

What do PENDING, CONFIRMED, and REJECTED mean on a booking?

PENDING is awaiting trainer approval (only on approval-required events). CONFIRMED means your spot is reserved. REJECTED means the trainer declined the booking — you'll be notified.

Why didn't my booking confirm immediately?

The trainer enabled approval-required mode for that event. They'll review and confirm or reject it; you'll get a notification either way.

Can I cancel my booking?

Yes, from the My Bookings page. Whether a refund applies and on what timeline depends on the trainer's or organization's cancellation policy — that's set per trainer/org, not by TrainerZone.

What happens if the trainer cancels an event I booked?

Your booking is cancelled automatically and you're notified. Refunds (if applicable) follow the trainer's policy — contact them via the profile if you need to follow up.

Where can I see past and upcoming bookings?

My Bookings has tabs for Upcoming, Past, and Cancelled. Each entry links back to the event so you can re-book or message the trainer.

Can I book multiple seats or bring a guest?

If the event allows multiple attendees per booking, you'll see a quantity selector at checkout. Otherwise each guest needs their own booking — capacity limits still apply.

Can I cancel or move a single session in a recurring series?

Yes. From the Recurrence tab, override or delete an individual occurrence (e.g. skip a holiday, move one Tuesday session to Wednesday) without affecting the rest of the series.

What does the Highlight star do on my event?

Highlighting pins one of your events as featured on your public profile. It's a personal merchandising tool — different from a user adding it to their favorites.

What's the Assigned Events page for?

It lists events that another trainer or an organization has added you to. Pending assignments show Accept and Decline buttons inline. Once you accept, the event becomes part of your public calendar.

Can I be the owner of one event and an assigned trainer on another?

Yes. Ownership is per-event — your own events live in My Events, and ones you're assigned to live in Assigned Events. The two lists don't overlap.

What can I edit on an event I'm assigned to but don't own?

Only the description. Date/time, pricing, capacity, location, recurrence, and images stay under the owner's control. The edit form will hide fields you can't change.

Yes — Settings → Export gives you CSV downloads of events and bookings, filtered by date range or status.

How does an organization account differ from a trainer account?

Organizations have a branded profile (slug, logo, multiple locations), can host multiple trainers as members, and can create org-owned events. Trainers join an org through an apply → approve flow.

As an organization, can I edit or delete events created by my trainers?

No. Each event is owned by whoever created it. A trainer who creates an event under your org keeps full control of it; your org is linked to the event but not the owner. You only have full management rights on events the org account creates directly.

How does assigning a trainer to an event work?

The trainer is added with status PENDING and gets a notification with Accept and Decline actions. Once they accept (ACTIVE), they appear publicly on the event. Declined assignments stay hidden from the public but visible to you for audit.

What happens when a trainer leaves my organization?

Events that trainer owned lose their org link (they become personal events but stay active). Events where they were an active assigned trainer get deactivated and active bookings are cancelled — both bookers and the other trainers are notified. Pending/declined assignments are just removed.

Yes. Trainer assignment notifications have inline Accept and Decline buttons in the notification list — you don't need to open the event.

Archiving removes a notification from your active list but keeps it accessible under Show Archived. There's no permanent delete — archived notifications are just out of the way.

How often will I get emails from TrainerZone?

Transactional emails (booking confirmations, cancellations, password resets) are sent as they happen. Marketing emails are limited and can be turned off entirely from Notification Preferences without affecting the transactional ones.

Open Notification Preferences and toggle Push on for the categories you want, then accept the browser/device prompt when it appears. If you missed the prompt, you can re-enable it from your browser's site settings.

What's the difference between favoriting and highlighting?

Favoriting saves an event, trainer, or organization to your personal list (My Favorites) — anyone can do it. Highlighting is something only a trainer can do, on their own events, to feature them on their public profile.

Can other people see what I've favorited?

No. Your favorites list is private to you. Trainers and organizations only see an aggregate count of how many users favorited them, not who.

My Favorites separates events, trainers, and organizations into tabs. Within each tab you can sort by date added or alphabetically, and remove an item with one click.

Will I be notified about my favorites?

If you've enabled Event notifications, you'll get an alert when a favorited trainer or organization publishes a new event, or when a favorited event is updated or cancelled.
